This year, the COT(Club Officer's Training), which trains new club officers, was heldon the 11^th of June. To meet the huge demand for training posed by the many new aspiring leaders at clubs, another COT was held on the 30^th of July. Its heartening to see that we had good turnouts for both the COTs. At the COTs, the club president,secretary, treasurer, the sergeant-at-arms,VPEs, VPMs, and VPPRs,each and every one, had the opportunity to learn from others, with tips and guides on how to make their clubs run smoothly, how to help grow their club membership numbers, and how to help members improve their communication skills and hone their leadership abilities.

In addition to learning what needs to be done for individual officers' roles, I believe that at this type of session the officers benefit by getting the opportunity to network with the other clubs' officers. This connection gives them the chance to share ideas with other clubs and to seek their support when the need arises. And the goodwill generated fosters growth and togetherness in our community of enthusiastic, positive, and optimistic people.

The training emphasised the need to keep recruiting members in order to keep new blood coursing through a club to ensure sustainability and to keep meetings lively and interesting. We also learned that setting goals for individual members establishes clear objectives for a club to achieve in the year. We learned that continual promotion of a club to its members and to potential members is key to building a healthy club.And what better way to achieve this than via the digital way by maintaining a good website? We learned that a good website contains up-to-date information and is attractive to the general public,making them sufficiently curious that they attend a club meeting to learn more. It was also encouraging and instructive to learn how some of our more creative members at Toastmasters have introduced the rainbow colour concept to their club officer roles, bringing colour and vibrancy to the job in order to make the efforts of club officers even more fun and rewarding.

These days, whether you are employed, a student, or a volunteer, you will find that you are often part of a team. In fact, unless you choose to live like ahermit, you cannot avoid being in a team. A team structure may be temporary, semi-permanent, or maintained for a longer term purpose.The members in the team may keep changing. Each member of a team ought to recognise that other members will have a mix of very different personality traits, values, abilities, strengths, and weaknesses. Hence, training like the one we went to is important for reminding us of these differences and teaching us how, in the face of them, to work as a team to achieve the common goals, set and agreed upon by team members. During the training, we were given team games to play where in we hlearned valuable lessons applicable to problem search of us face regularly in our team lives. We were very grateful to our experienced trainer, Mr King Kwong, for illustrating to us the importance of interaction with others in skilled leadership and for achieving team goals.

The two half-days training were certainly worth taking the time to attend. Participants enjoyed an enriching experience and everyone left looking forward to applying what they had just learned back in the team environments of their daily lives.

CTMC – 2011 Spring Festival Special Edition

Dear Toastmasters in Hong Kong and Macau

This is a rather long message. Please bear with us as it contains important information on the future development of Toastmasters in Hong Kong and Macau. Please bring to the attention of fellow members of your club.

Bringing Hong Kong and Macau Toastmasters to the next decade : Club Alignment for 2010/11

Last Saturday, Apple launched its revolutionary iPad. Within the first day of its debut, over 300,000 units were sold, which broke the record sales of its previous revolutionary iPhone. In his interview, Steve Jobs and his team at Apple share with the press, "we tell our customers what they want next."

In less than 3 months from now, Toastmasters in Hong Kong and Macau will undergo one of the biggest changes in recent years. Yes, the migration to District 85 from 1 July 2010 -- The District of Toastmasters in China.

At Division Council, we asked ourselves this important question many times -- What do we want next?

"Club Alignment - in the Best interest of the Toastmasters Community"

How can the upcoming District, Division and Area leaders bring us to our next achievements?

How can the next Division Council setup lead us through the changes?

How can the next club alignment help us in achieving our next communication and leadership goals?

Currently, Division H&K comprise 52 clubs in Hong Kong and Macau, with two potential new clubs, chartering of which is in the pipeline. Taking 54 clubs as the position for July 2010, we see that to cater for the upcoming growth for and in best interest of the entire Toastmasters community in Hong Kong and Macau, the Division Council, at its meeting in February this year, decided that we shall add a new Division to the existing two on migration to District 85.

"Divisions H-K-G"

We propose the new Division to be called Division G.  Together with the existing six Divisions (A-F) in China, there will be nine Divisions starting 1 July 2010 - Beijing (2), Shanghai (3), South China (1), Hong Kong (3).

To this end, in the proposal by the current Division Council for the club alignment for 2010/11 for approval at the upcoming District 85 Shanghai Convention in May 2010, we bear in mind the following guiding principles:

* Fair distribution of clubs on languages and types (student, in-house and community clubs) among Divisions

* Balanced number of clubs within each Area to enable growth and to allow sufficient attention to each club by Area Governors

* Combination of student, in-house and community clubs within an Area to maximize interaction and particularly exposure for the students -- our future leaders.

After several rounds of intensive discussions, we finally came up with the Club Alignment Proposal for 2010/11.

"Club Alignment in a Nutshell"

In a nutshell, here is what will happen starting 1 July 2010:

* There will be three Divisions for Hong Kong and Macau, namely H,K, and G

* Each Division will have 4 Areas overseeing 18 clubs, half of them being community clubs, another half in-house and university clubs

* These clubs will be equally distributed within Areas, making each Area 4 or 5 clubs

* Each Division will have an Area consisting of either Cantonese or Putonghua speaking clubs (Chinese clubs).

* Clubs in Macau will remain in one Area

* There will have 3 Division Governors and 12 Area Governors

* The website will still be www.hongkong-toastmasters.org, with contents to be updated to reflect the changes

While we understand that each proposal has its own merits, and no single proposal is likely to cater for all needs and wants, we believe that this proposal will serve the best for the community, cater for future growth and development, and allow us to become the speakers and leaders we want to be.

Our  term of  office is going to end in less than one month.  We would like to take this opportunity to thank you for your kind support especially club presidents and members of  division councils.  

We had arranged two toastmaster open days (also known as new member orientations) successfully with more than 130 people attending each event, most of  them were new toastmasters and potential toastmasters.  Many non-toastmaster attendees finally joined toastmaster.

Two new clubs, United College Toastmasters Club and HKIEd SU Toastmasters Club, were chartered during the term.

Also we have arranged the biggest division delegation to attend District 80 Annual Convention in Singapore in May 2006 with almost 70 toastmasters from Hong Kong and Macau.  During the three days Convention, the division delegates made new friends,  learned much from high quality workshops and, most important of all,  had lots of  fun.

To continue the toastmaster legend, division council members and we have dedicated ourselves to work hard for the past 11 months.  Now it is the right time for new toastmaster leaders to prepare to take up the challenge for 2006-2007.

We sincerely wish Mr. Neil Sy, Division H Governor Elect, and Mr. Khalid Khan, Division K Governor Elect,  and their team a very successful 2006-2007 term.  We believe Hong Kong and Macau toastmasters shall support them with all our  heart.

To provide for a smooth transition into a new toastmasters year starting July 1, current officers within the club and area level are busy finding the right members to take up various leadership roles for the coming year. I urge YOU to stand up and come forward. This will certainly be a precious chance to enhance yourself. Remember that it is always those who give the most are rewarded the best! To gain the most out of your Toastmasters journey, learn to speak like Churchill and lead like Gandhi. One without the other is not complete.

For the current leaders, May leaves you 2 months to realize the dreams you had when you took up office in July last year. Be it that you want to bring the distinguished club title to your club or to simply raise the number of your members, it is time to look back and see how much you have accomplished. Every year, leaders come and go, some are forgotten while others are remembered even many years later. I am sure nobody would like to be a leader who will be forgotten overnight. Two months is still plenty of time for you to achieve your goals. Many of you are almost there. Take a few more steps in this last mile and be remembered for the legacy that you leave behind!

A successful leader not only leaves behind a better place than when they took office, but they also leave behind a better team. Find the best man and woman who can bring your clubs to even higher heights. Prepare them for their post. Equip them for the upcoming challenges. Remember, the date: June 3 - 1st Club officers training for the new team. Make sure you come with them!

At divisions H&K, the open nomination for the governor post for each divisions resulted in 1 nomination each. Anybody who is interested for the post can make the intention known at the District annual conference in Singapore. It is still not too late, but it will be after May 20th.

Remind yourself: If not me, then who. If not now, then when?

Go for it and do your best! Leave behind a legacy!
